How to build a wedding day timeline that actually works
A good wedding day timeline is not a list of wishes — it is a working document that every vendor on your team can follow. The tool above builds a starting schedule the moment you pick your ceremony time, then gets out of your way so you can adjust the details to match your actual day.
Start with the ceremony row locked in the centre. Work backwards for getting ready, transport, and photography prep. Work forwards for cocktail hour, reception, and send-off. Add your vendors in the responsible column so each person has their own single reference.
How long does each part of a wedding day take?
Getting ready is almost always longer than couples expect. Allow at least four to five hours if hair and makeup is happening on-site. Build in an extra 30 minutes as a buffer before any vendor is due to arrive — they often run early, and you want to be ready.
Wedding ceremonies themselves range from 20 minutes (civil) to 75 minutes (religious with full readings and communion). Know your format in advance and add that length to every item that follows the ceremony row.
Cocktail hour is typically 60–75 minutes. Reception dinners run 90 minutes to two hours depending on the number of courses. Allow 30 minutes for speeches. Open dancing usually runs until the venue closes — note your music curfew in the notes column.
Who should receive a copy of your wedding day schedule?
At minimum: your lead photographer, videographer, caterer or venue coordinator, DJ or band leader, and your officiant. If you have a wedding planner, they will manage distribution — but print a copy yourself too.
Your maid of honour and best man should both have a copy. They are the people who will keep everyone on track during getting ready and family formals. A printed copy in their bag is more reliable than a phone screenshot.

Common questions
How far in advance should I create my wedding day timeline? +
Start a rough draft 3–4 months out when vendor contracts are signed. Finalise it 2–4 weeks before the wedding once you have confirmed arrival times from every vendor.
How long should I allow for wedding photos? +
Allow 60–90 minutes for portraits after the ceremony. Family formals typically take 20–30 minutes. Couple portraits need 30–45 minutes for a comfortable selection of locations.
Who needs a copy of the wedding day timeline? +
Your photographer, videographer, caterer, band or DJ, venue coordinator, and wedding planner (if applicable). Print a copy for your maid of honour and best man too.
What if my ceremony runs over? +
Build 15–20 minutes of buffer after every major transition — after the ceremony, after portraits, and before the grand entrance. Ceremonies almost always run slightly over schedule.
Does this timeline save automatically? +
Yes. Every change saves automatically to your browser's local storage. Your timeline will be there when you return, even after closing the tab.
Is there a version that shares the timeline with vendors? +
The BrowserPlanner Wedding Planning Control Center includes a printable day-of timeline as part of its full planner — vendors can receive a printed or PDF copy.
